Using the Sidebar

 

The Sidebar gives you access to all the wonderful features of Kerika, such as sharing projects, adding notes to items on pages, managing documents, sharing items across projects, and restoring items that were deleted from a page. To open or close the Sidebar, click on the Sidebar button on the Toolbar or go to the View menu and select Sidebar

There are five Panes or tabs in the Sidebar, and you can switch between them using the buttons on the top marked Item Notes, Item Info, Project Team, Document Versions, and Trash.

The Item Notes Pane in the Sidebar         

The Item Notes pane can be used to add notes to any item on any Idea Page: just select the item on the page with a single mouse click, and then click on the Add Note button at the bottom of the Pane to add a Note to that item.

You can also remove an old Note if it is no longer useful: just select the Note in the Pane and then click on the Delete button.


The Item Info Pane in the Sidebar         

The Item Info pane can be used to get details about any item on any Page, such as its size, start and end dates, priority, etc.

And if you are sharing items across projects, the Locations field at the bottom of the Pane shows you all the pages where you can find the item.


The Project Team Pane in the Sidebar         

The Project Team Pane lets you share your projects with other people, regardless of whether they are also using Kerika or not. To add someone to a project team, just type in their email address and then press Add to Project button: Kerika takes care of the rest!

If the email address you entered is for someone who is a Kerika user, they automatically get added to the project team: if they are online when you add them, they get a full set of projet materials -- all the Idea Pages, documents, Web links, etc. that make up the project folder. If they are not online, they can get the project materials later, when they next log into their computers, thanks to the storage server. (You can also use a private server for greater privacy.)

If the email address you entered is for someone who is not currently a Kerika subscriber, they can get project updates sent to them by email when you next press the Send Email Updates button on the Tool Bar.

This Pane also shows you, at a glance, whether any of your team mates are currently online (green icon next to their names), offline (white button), or are not Kerika subscribers (grey icon).


The Document Versions Pane in the Sidebar         

The Versions Pane lets you create backup copies of any documents you are working on, as well as access versions that you received from your team members

On the top we can see that there are two versions that came from team members. When a team member modifies a shared document, it doesn't overwrite anyone else's files. Instead, Kerika makes sure that every team member has a complete set of all versions. You can easily swap out your version with your team mate's version by clicking on the Replace Your Version button. And if you don't want to keep a team member's version, you can remove it from your computer by clicking on the Delete button. (Note: since Kerika works with a peer-to-peer model, you never end up removing files from anyone else's computer: when you delete a file it only goes away from your Kerika, not anyone else's.)

On the bottom we can see that the user has made one backup. As the document evolves you might find it helpful to periodically capture snapshots of the document so that if you end up going down the wrong path you can easily revert to an older version (by clicking on the Replace Your Version or Rollback buttons).


The Trash Pane in the Sidebar         

Every Idea Page has its own Trash: anything that you, or any other member of the team, deletes from the Page goes into the Trash. Kerika works like a graphical Wiki: any member of the team can delete any item from any shared Page, and any other member of the can restore it from the Trash.

If there is something in your Trash that you just don't need any more, you can remove it from your computer. And keep in mind that since Kerika works in a peer-to-peer way, you only delete items from your local Trash: other members of the team will continue to have that item in their local Trashes.
